When I send an e-mail, how do I ensure volunteers can’t see the e-mails of other volunteers included?
You don’t need to do anything! This setting is enabled by default and cannot be customised. Whenever you send a message to multiple volunteers, none of them will know who else received the same e-mail.
I ran a search of volunteers on the ‘send a text message page’ and no volunteers appeared. Why?
The most likely reason is that your volunteers haven’t yet opted in to receive text messages. It’s a setting they can access within the Contact Information page of their profile.
Read receipts are not allowed. Why?
The reason why read receipts cannot be used is typically because of settings in place for your organisation’s email domain.
If I use an e-mail template and change the text in the body of the e-mail, will that change the template?
No. When you draw from a template, you simply generate the pre created text and can make any required adjustments from there, without affecting the original template.
When volunteers reply to my e-mail, their reply isn’t viewable in their profile. Why?
When you send an e-mail to a volunteer, only the original message is stored in the e-mail history page. The messages that are exchanged beyond that point are managed within each mailbox of the volunteer and staff member.
Can the birthday and anniversary message be sent to volunteers by e-mail?
No. They will display on the home page for volunteers who log in on the day of those milestones. You can of course send a manual e-mail and use the search functionality to communicate with those volunteers. Additionally, on your dashboard you will find a convenient list of volunteers with birthdays and anniversaries occurring within the next seven days. Emails can be sent directly from this list.
I see there are two different areas to log volunteer notes. Which should I use?
The dedicated note log page is where you can log secure private notes that once created, cannot be amended or deleted (even by us!). Consider using them for significant interactions. The note page in the Miscellaneous section allows you to record notes that can be easily wiped when no longer needed, such as a temporary absence.
Is there an upper limit to the content in the News page?
No! You can add as much content as you like however to retain page performance you may choose to remove very old news every once and a while.
What should I add to the document library?
Consider adding files like policies, templates, newsletters and processes to your document library for volunteers to access at their convenience, without having to rely on you to share them when needed. Do not add confidential files to this area.
